As an admin user in Silverfin, you have the ability to customise workflow statuses to match your firm's needs. Workflow statuses help centralise communication, streamline preparation and review processes, and improve collaboration across teams. This article will walk you through how to manage workflow statuses at the firm level.

Why Use Workflow Statuses?

How to Manage Workflow Statuses at the Firm Level
Adding or Editing Workflow Statuses
As an admin, you can add custom workflow statuses on the firm level.
To manage workflow statuses:
- Go to the Templates tab in Silverfin.
- Scroll down to the section Workflow Statuses to view the current list.
- Click add workflow status to create a custom workflow status. Use clear, descriptive names for workflow statuses to ensure consistency across teams.
- Modify or delete/archive existing statuses as needed.
You can only archive a status that has already been set in a file workflow. Once archived, it will no longer be selectable at the company level, but existing workflows will retain their statuses. There is also an option to reactivate it if needed
Enabling or Disabling Workflow Status Visibility
- Workflow statuses appear in multiple areas within Silverfin, such as the company overview page and next to the workflow title.
- You have the option to disable/enable visibility at the firm level. User won't have the option to add and edit the workflow status on each workflow in a client file. Previously selected statuses will be hidden in client files.
To adjust visibility settings:
- Go to the Templates tab in Silverfin.
- Scroll down to the section Workflow Statuses.
- Enable or disable the feature as needed.
Tracking Workflow Statuses Across Client Files
Using the Insights Module
You can use the Insights module to track workflow statuses across multiple client files.
- use filter 'workflow status'.
- Search for specific workflow statuses across multiple dossiers.
Example Use Case:
A manager wants to check whether annual accounts deadlines will be met. Using Insights, they can track all client files currently in review and identify any potential delays.

API Integration: Sync Workflow Statuses Across Tools
Many firms use separate tools to track deliverables like Corporate Tax, VAT, and Annual Accounts, often requiring manual status updates across systems. To streamline this, Silverfin now allows workflow statuses to be retrieved via the API, enabling automatic syncing with external tools.
