The Summary of Fixed Assets reconciliation rolls up every category in the Fixed Assets Register into the single cost / depreciation / net book value (NBV) movement table that supports the tangible fixed assets note in the accounts. It takes no data entry of its own (beyond an optional Hire Purchase summary toggle) — everything on it is pulled through from the Register, category by category, and reformatted into the cost / depreciation / NBV movement layout used for the tangible fixed assets note in the accounts.

When should I use this template?
Add this template wherever the client has tangible fixed assets and you want a single working paper showing the full cost / depreciation / NBV movement across all categories, rather than reading it off the Fixed Assets Register category by category.
It is designed to sit alongside (not replace) the Register and the Tangible Fixed Assets (reconciled through FAR) account template — the Register does the asset-level work and the calculations; this template presents the roll-up.
What do I need before I start?
Add the Fixed Assets Register first. This template has nothing to display until the Register is present and populated — it reads its category list and all of its figures directly from the Register's results.
What does the cost and depreciation movement table show?
The main table lists every category that has values in the Fixed Assets Register (categories with no activity are omitted automatically) and, for each, shows:
- Cost: opening cost, additions, revaluation / impairment, disposals (and, where applicable, harvested assets for biological asset categories), and closing cost.
- Depreciation: opening accumulated depreciation, charge for the year, disposals, and closing accumulated depreciation.
- Book value: closing NBV (with an unreconciled indicator if it doesn't agree with the trial balance — carried over from the Register's own reconciliation), plus prior-period and, at a financial year end on a non-yearly file, prior-year NBV for comparison.
- Disposals: disposal proceeds and profit / loss on disposal.
The column layout adapts automatically. An Additional description column only appears if any category has a comment entered against it in the Register, and prior-year comparative columns only appear when the current period is the financial year end of a file with more than one period per year.
What does the reconciliation warning at the top mean?
Above the table, an infotext links back to the source Fixed Assets Register. If the Register's total NBV across all categories doesn't agree with the fixed asset balance in the trial balance, a warning appears here (quoting the trial balance figure) and the template is flagged as unreconciled.

How do I show hire purchase assets separately?
If any assets in the Register are flagged as hire purchase, a checkbox appears at the bottom of the template: Enable Hire Purchase summary. Tick it to reveal a second, identically structured table showing the cost / depreciation / NBV movement for hire purchase assets only, pulled from the same Register data. This is useful where the accounts (or a lender) need HP assets shown separately from the rest of the fixed asset base.
If no hire purchase assets exist anywhere in the Register, this checkbox doesn't appear at all.
What flows through to the rest of the accounts?
The cost, depreciation and NBV movement figures on this template are the presentation layer for the tangible fixed assets note in the accounts. The note's disclosure of cost / valuation and depreciation, reconciled from the start to the end of the year, is built from exactly the figures shown here (which in turn come from the Fixed Assets Register). It doesn't feed any other template.

What rolls forward next year?
Nothing is entered directly on this template, so there is nothing here to roll forward — every figure is recalculated each period from the Fixed Assets Register. The only per-file setting is whether the Hire Purchase summary checkbox has been ticked, which is remembered as with any other tick-box entry.
Where does the data come from?
Everything is inbound from the Fixed Assets Register — category list, cost movement, depreciation movement, NBV, reconciliation status, disposal proceeds and profit / loss, and comments. This template performs no independent calculations against the trial balance. If a category is missing or a total looks wrong here, check the Register.
Frequently asked questions
Why is a category missing from the summary table?
The Fixed Assets Register only surfaces categories with current, comparative or prior-period account activity. If a category should have a balance, check the account mapping and postings in the Register.
Why does the template show a warning that NBV doesn't agree with the accounts?
The total NBV across all categories in the Fixed Assets Register doesn't match the tangible fixed asset balance in the trial balance. This is the same reconciliation shown at the top of the Register — go there to identify and resolve the difference.
Where does the "Additional description" column come from?
It shows the comment entered against a category in the Fixed Assets Register, and only appears at all if at least one category has a comment.
Can I add extra rows or descriptions here?
No — this template only presents figures pulled from the Fixed Assets Register (plus the Hire Purchase toggle). Any category comments or additional items need to be entered on the Register itself.
