The template for doubtful debtors is a tool used to track the history of doubtful clients, linked to the 407 accounts. Follow the steps below to correctly fill out the template and obtain a green sphere in Silverfin:
How do I activate the account template?
The "Doubtful Debtors" template is part of the "BE Working Papers" package. If you are logged in as an admin, you can activate this template to make it part of the standard client template.
The template can be added to the 407 account within a file by going to Edit, and then selecting Account Template. After that, choose the “Doubtful Debtors” account template.
Once you have selected it, the structure of this template allows you to clarify and match the various movements within this account.
Overview of Input Options:
- TY Number: This is the administrative year number linked to the transaction.
- Category: Indicate whether the transaction remained unchanged or was modified.
- Debtor: The name of the debtor involved in the transaction.
- Reason: The reason for the doubtful status, such as a dispute over services or the quality of goods.
- Beginning Balance: The balance at the beginning of the period.
- Adjustment: Any changes during the period.
- Ending Balance: The balance at the end of the period.
- Decrease: decrease in value during the period.
- Increase: Increases in value during the period.
- Inclusion in 204.3: Any inclusion within form 204.3.
- VAT Recovery: Indication of whether VAT recovery applies.
- VAT: The amount of VAT involved in the transaction.
- Attachment: Any attachments relevant to the transaction.
Ensure that both the beginning and ending balances of the doubtful debtors match the figures in account 407. The difference between the beginning and ending balances represents the movements that occurred during the fiscal year, including positive and negative transactions.
Impairments: Impairments should match the opening and closing balances on account 409.
VAT Recovery: If applicable, you can tick the 'VAT recovery' option and fill in the VAT balance, if any.
Optionally: Add the "recoverable VAT" account (411 account) if needed, using a hashtag (#).
Obtaining a Green sphere: In Silverfin, a green sphere is displayed when the sum of the split amounts matches the amounts on the ledger accounts 407 and 409. If there is no match, Silverfin will show a red triangle.
Handling Non-Collectible Amounts: If certain amounts are no longer collectible, enter them as negative amounts. Since a non-collectible amount is considered definitively lost, it should be recorded as a negative under "change" to indicate it is no longer considered "doubtful."
