Can I use the same email address to send questionnaires to two different people?
Technically, you can use the same email address to send questionnaires to two different people, but it is not advisable. This might be necessary if both people need to be contacted via the same email address, such as when family members use a joint email address for separate returns.
However, for privacy reasons, it is better for each person to have their own email address. The main recipient will have access to both questionnaires and all associated personal information and can edit these details.
What if someone doesn’t have their own email address?
For example, John needs to fill out his own questionnaire but also that of his parents, who are less digital-savvy and do not have their own email address. Both questionnaires/declarations have to be sent to john@gmail.com.
The procedure depends on the method of sending:
- Without Kamigo (classic email invitation): You can use the same email address for both files. John will receive two emails at john@gmail.com and can fill out both questionnaires directly from his inbox.
- With Kamigo (login portal): This works differently. In Kamigo, only one account can be created per email address. Therefore, two files cannot be registered with the same email address. John will not be able to receive both questionnaires in his Kamigo portal.
Solution: Use a variation of the email address for the second file, such as john+parents@gmail.com instead of john@gmail.com. This trick (with a plus (+) and an addition) works with most email providers (such as Gmail and Outlook): emails to john+parents@gmail.com will simply be delivered to john@gmail.com.
In that case, you can create John's file in Accounton using the email address john@gmail.com and his parents’ file with john+parents@gmail.com. John will receive both invitations in his inbox and can then:
- create his own Kamigo account on john@gmail.com, and
- create a second Kamigo account for his parents on john+parents@gmail.com.
This method keeps the questionnaires separate and organized, even for John himself.
Note! Use this method only if it is not an issue for the recipient to have access to both files.
