This article explains how to manage RGS codes for six or more partners within the RGS chart of accounts, and what solutions you can apply to keep the presentation clear.


Working with RGS codes for six or more partners

  • Within the RGS chart of accounts, RGS codes are provided for a maximum of 5 partners. Once you have six or more partners, there is no longer the option to link them individually to separate RGS codes. In that case, we recommend mapping all capital accounts together under the main RGS code: 'BEivKapOnd'
  • When there are six or more partners, the first name from the company details is automatically linked to BEivKapOnd. This can be confusing, as it may appear as though the capital belongs to only one partner.

Workaround:

  • To avoid confusion, you can temporarily rename the first partner in the company details to something like: 'Total Capital Partnership'.
  • This way, the total amount under BEivKapOnd is presented more clearly in the annual accounts and the profit appropriation proposal, without referring to one specific partner.

Template – Trial Balance with corrections 

In the Trial Balance the capital accounts are displayed separately, as this view shows the general ledger accounts rather than the RGS codes. This allows you to retain visibility of the individual capital balances per partner, despite the RGS limitation.

Notes in the annual accounts

If you wish to provide additional explanation about the distribution or total capital, you can include this in the Equity section of the annual accounts.


Please note: to be able to add this note, the annual accounts format must be set to at least 'small'. In the example, it was initially set to 'micro', but was changed to 'small' to enable the note. The reason for this is that in the 'Equity' template, the 'notes' section is not available for a Micro A.
