This article will guide you on how to share entire workflows with Pulse users, enhancing collaboration and boosting overall productivity. You'll learn how to share workflows, manage permissions, and control client interactions with your files.

Sharing a workflow with a Pulse user

You can easily share complete workflows with Pulse users to collaborate more effectively. Follow these steps to share workflows with your clients:

If a Pulse user does not yet have access to a file

  1. On the client overview screen, click 'Edit Client' button.
  2. Go to the 'Users' tab and click 'Add Pulse user'.
  3. Fill in the relevant details.

If a Pulse user has already been added to a file

  1. Open the workflow within the file.
  2. Click the icon next to the 'Actions' button.
  3. If needed, add multiple Pulse users to the file.
  4. Add a personalised message to the email notification sent to the Pulse user (optional).
  5. Click 'Save and send.'
  6.  The Pulse user will receive an email with access details.
Granting access to a Pulse user makes the current period public. However, only the selected Pulse users will have access to the workflow.

Sharing Options

You can choose how Pulse users interact with shared workflows using two modes:

Prepare Mode

  • In Prepare Mode, Pulse users can propose and submit changes to the templates. A pen icon will indicate when changes have been proposed.
  • In prepare Mode, workflow review screen is not available.
  • Once the Pulse user marks the changes as final, internal users following the file will receive a notification.
  • Pulse users can only finalise proposals if period in the file is open.

To review proposed changes:

  • Click 'View in context' to check the proposal and select 'Check Final Proposal'.
  • You can accept, reject, or request changes. The changes made by the Pulse user will be highlighted in green for easy comparison.
  • If a Pulse user finalises their proposal and then makes further changes, you'll be notified again to review those updates.

Review Mode

  • In Review Mode, user starts on the workflow review page. 
  • To propose changes, Pulse user needs to click on 'Make changes' button.
  • You can switch between Prepare Mode and Review Mode at any time.


Granular Control

  • You have full control over whether Pulse users can edit workflows. A simple toggle allows you to enable or disable their ability to make changes, giving you precise control over collaboration.
  • After Pulse users make proposals, you can block further changes, but only after accepting or rejecting their proposals.
