The Agricultural - Stock Valuation: Crops and Other template is an account template used in the Farm Working Papers package to build up the year-end value of a farm's harvested crop stock and general farm store items (feed, fuel, seeds, and similar). You attach it to the relevant crop or other-stock account, list the quantities and rates behind the balance, and the template reconciles its total to the trial balance figure on that account.

When should I use this template?

Use it on any account that holds harvested crop stock (barley, wheat, oats, potatoes, oilseed rape, forage, or peas) or other farm store stock (feed, fuel, seeds, veterinary supplies, and similar) at the period end. It sits in the Farm Working Papers package alongside the Agricultural - Stock Valuation: Livestock template, which covers the farm's animals instead.

Before you start

  • Confirm the account you are mapping the template to falls within the crop or other-stock range (see Where the data comes from below). The template reads the account number to decide which category and dropdown list to show, so it will not behave correctly on an account outside this range.   • Have the client's year-end stock count or valuation sheet to hand, showing quantities and rates (or total values) for each type of stock held.

Background

Each account in the crop and other-stock range represents one stock category. For example, the barley account shows a Barley heading and a dropdown of barley-specific units (hectares, tonnes of feed, seed, treated, untreated or whole barley). The category and heading are set automatically from the account you are on; you do not choose them.

Stock is required to be carried at the lower of cost and net realisable value, and for farming clients "cost" for home-grown produce is rarely a figure that can be traced to an invoice. HMRC's long-standing accepted shortcut, used across the farming accounts profession, is a deemed cost of 75% of open market value for harvested crops. This template offers that same 75% as an optional toggle on each line, so the workpaper matches the convention accountants already use for the client's stock figure.

Steps

For the account you are on, add one row per lot or type of stock held:

ValuationCalculated automatically as quantity × rate (or quantity × rate × 75% if Deemed rate is ticked).
AttachmentUpload supporting evidence for that line, for example a weighbridge ticket or invoice.
CommentsFree text. If you choose Other as the category, this becomes required, and an amber warning appears next to the Comments heading until you fill it in.

Rows are grouped and subtotalled automatically as you add them. Switching from a "hectares" line to a "tonnes" line, for example, inserts a subtotal before the new group starts.

At the top of the schedule, an optional note-and-attachment row lets you attach the client's own stock sheet (labelled "Stock sheet" by default) for your working-paper file.

For accounts in the "other stock" range (feed, fuel, seeds, and similar; see Where the data comes from below), the account's own name is used as the page heading. Unlike the crop accounts, the row-level Category dropdown on these accounts is a single shared list covering every other-stock type (Crop spray, Dogs, Dung and fertilisers, Embryos, Feed, Fuel, Fuel and oil, Materials, Other stocks, Parts, Seeds, Semen, Veterinary supplies, or Other) rather than being restricted to the type the account is named after. A line can therefore be recorded under a different other-stock category than the account's own heading, if that is genuinely where it belongs.

What flows through to the rest of the accounts/workflow?

The template continuously compares its total valuation to the trial balance balance on the account it is attached to. If the two do not match, an unreconciled indicator appears on the total line showing the trial balance value, the template value, and the difference, so you can see at a glance what still needs correcting.

Once reconciled, the category name and total value are passed through as results that other templates, including the notes to the accounts, can pick up automatically when building the stock disclosure.

The balances on every crop and other-stock account (whether or not you have used this template on them) are also drawn together, alongside the livestock stock accounts, into the Agricultural - Stock Valuation: Lead Schedule, which the template links to directly.

What rolls forward next year?

When the next period is created by copying data forward, the rows you have entered (dates, quantities, categories, rates, deemed-rate ticks, attachments, and comments) carry forward as a starting point. You then update the quantities and rates to match the new year's stocktake, add or remove rows as stock items change, and re-check the reconciliation. The prepared, reviewed and locked review markers reset each period and do not carry forward.

Where the data comes from

All figures are entered manually from the client's own stock count or valuation sheet. Nothing is pulled automatically from the trial balance other than the account balance used for reconciliation. The category shown depends on which account the template is mapped to:

Account 142021 (horses) and 142026 (dogs) are excluded from this template even though they fall inside the wider stock range. They are covered by the Agricultural - Stock Valuation: Livestock template instead.

Frequently asked questions

Why can't I choose the category myself?

The category and its dropdown options are set by the account the template is mapped to, not chosen freely. This keeps the workpaper consistent with how the account is described in the trial balance.

What does the deemed rate toggle actually do?

It applies a flat 75% factor to that line's quantity × rate, approximating the deemed cost of home-grown crops rather than their full open market value. It is available on every line, including "other stock" categories, so only tick it where a deemed-cost basis genuinely applies (typically home-grown, harvested crops) rather than for purchased store items already held at cost.

Why do I get a warning next to Comments?

You have selected Other as the category on a row without adding a description. Add one to clear the warning.

Why is there still a difference showing at the bottom of the schedule?

The total valuation does not yet match the trial balance balance on this account. Check that every stock item has been entered and that quantities and rates are correct.
